Forms Manual



  • Opening forms manual

    1. Click on the “Module Overview” at the navigation bar
    2. Following page will open
    3. Click on “ Forms Manual Module”
  • Forms manual main dashboard

    1. A complete list of all forms will show up with following information
      • Form No – Displays the form number
      • Form Name – Displays the name of the form
      • Assign – You can assign the form and rights to various users from here
      • New – All new blank forms show up here
      • Inprocess – All in-process forms show up here
      • Completed – All completed forms show up here
      • Condemned – All condemned (trash) forms show up here
      • Edit – You can edit the header and footer information
    2. You can view the master list by clicking on the at the top right corner
    3. You can edit all forms by clicking on the at the top right corner
    4. You can download the assign status of all the rights given to all the users in Excel by clicking on
  • Assigning the forms to single users / group of users

    1. You can assign the forms to any single user or group of users by clicking on
    2. A new box will open up with the title of the form listing the names of all users with their current number of allocated forms and assigned rights
    3. You can allocate forms and assign rights from here
    4. Fill in the number you want to allocate to the user
    5. Assign rights to the user
    6. Click ‘Assign’
    7. The allocated quantities and rights will be assigned to the selected users and an email will be sent to them
    8. The user will see against the form where the denominator indicates the number of forms allocated and numerator indicating the number of forms used by the user
  • Working on forms

    1. Once a form has been allocated to the user or a group of users then the will show up under ‘New’
    2. Click on and start working on the forms
    3. Whenever you save any form, a page for sending emails to the selected group as well as to any external party will open up from where you can send the email to the selected users who can view the saved form in their emails
    4. After a new form is saved for the first time it will be show-up under ‘Inprocess’
    5. One a form is saved for the first time a reference number is auto generated in following format:
      (CF) IPRR/024/2019/0502
      ie, (Initials of the division) Form code/current number since generation/Year of generation/Employee code
    6. The number showing under ‘Inprocess’ , ‘Completed’ and ‘Condemned’ indicates the number of forms under process, number of forms completed and number of forms condemned (trashed) respectively
    7. Whenever you click on the numbers shown under any column the respective dashboards will open up.
    8. The dashboard will display all details of the forms and the name of the users who submitted, last edited and published the form along with the date and time
    9. Any user with relevant rights can edit, publish and condemn the form and choose to send emails to the recipients of his/her choice
  • Viewing the Master List of Forms

    1. In the Forms Module click on the at the top right corner
    2. The Master List of Forms will open showing following details:
      • Form No
      • Title
      • Issued (Month / Year)
      • Revision no
      • Retention Period in months
  • Editing the forms

    1. You can edit any form by following two methods:
      • By clicking on the at the top right corner and choosing the form from the drop-down menu
      • By clicking on the in front of every individual form under the column ‘Edit’
    2. You can only edit the Header, Footer and Guidance Instructions of the form
  • Publishing the forms

    1. Once the work has been completed on the relevant form the user having publishing rights can publish the form by clicking on the at the ‘In-Process Form Status’ dashboard.
    2. Emails can be sent to the group users and external parties as desired
    3. All details of the published form can be seen in the ‘Completed Forms Status’ dashboard
    4. A page will then open up displaying all the details with signatures
    5. The user can view the all completed / published forms at the main Forms Module dashboard
  • Condemning the forms

    1. In case the form has been filled erroneously or due to any other reason where the user does not want to continue working on the form then he can condemn it by clicking on the at the ‘In-Process Form Status’ dashboard
    2. The user can view all condemned forms at the main Forms Module dashboard
    3. It should be kept in mind that no form can be deleted permanently
  • Archiving the forms

    1. The user can archive any form by clicking on the at the ‘Completed Forms Status’ dashboard
    2. The user can view all archived form by clicking on the ‘Archives Module’
